Kalamazoo, MI - Project Expediter

Job Description:
  • Maintain and update the project master schedule (MS project)
  • Assist leads and project manager (PM) with completion of initial master schedule
  • With input from leads and PM, make timely alterations and updates
  • Look ahead to anticipate items at risk and advise project mgt and leads of possible delays
  • Interact with core work-streams and site team to report on and maintain schedule adherence for tasks and deliverables
  • Maintain RAID database
  • Regularly review RAID database for items due in the near term and review them with team members to ensure that items are updated and disposed of in a timely manner
  • Add or update RAID entries at the direction of the PM or team members
  • Prepare periodic reports with narrative at the direction of the PM
  • Team Level Meeting Preparation
  • MC regular team meetings following a standing agenda at the direction of the PM
  • Prepare standard reports with metrics
  • Take and distribute notes and action items
  • Update the project schedule and RAID log as appropriate
  • ERP/Steering Level Meeting Preparation
  • Prepare a standard weekly/month report for finalization by the PM
  • Updated status, achievements and upcoming activities
  • Updated project plan with % complete
  • Updated deliverables list
  • On-boarding and administrative support
  • Maintain an on-boarding checklist with ‘how to’ instructions
  • Assist new team members with the on-boarding process
  • System access

  • Ensure that on-boarding tasks are completed in a timely manner
  • Assist with on-going system or administrative issues as needed
  • Assist with scheduling and planning meetings, facilities, and travel as needed
  • Project Finances Support
  • Assist with weekly financial review (contractor hours and charging)
  • Balance charges to purchase orders each month after closing
  • Prepare and maintain budget and projected expense information
  • Reports to a Project Manager I or Project Manager II and provides both financial and administrative support
  • Project Document Management (creating and maintaining files and spreadsheets, copying and scanning documents, collecting and collating documents for PMs)
  • Various finance functions (reconciliation of general ledger to cost reports
  • Various other monthly reconciliations, invoicing, reporting, creating purchase orders) and general support to the Leadership Team (scheduling, typing, taking minutes, handling correspondence, etc)
REQUIREMENTS:
  • Analytical Skills   Desired 1-3 Years Advanced
  • Budgeting   Knowledge Desired 1-3 Years Advanced
  • Business Process Management   Knowledge Desired 1-3 Years Advanced
  • MS Office    Knowledge Desired 1-3 Years Advanced
